EDI Message overview

What is an EDI message?

An EDI (Electronic Data Interchange) message is information, encoded in a message format that is used for computer-to-computer exchange of business data. The format is designed to be both compact and (with a bit of effort) human readable.

How does Sequoia produce EDI messages?

Sequoia converts the information that has been input (for example - customs declaration, or ETSF) into an EDI message. This occurs on the Sequoia Server when you 'Send' the information to a third-party system.

Where does an EDI message get sent to and why?

An EDI message may get sent to a government declaration system (CHIEF) via a Community Service Provider (CSP). Examples of CSP's are CCS-UK, CNS, MCP, Pentant. The EDI message may just relate to inventory movements, and will therefore be sent to a CSP which controls an inventory at a land border.
Sequoia will translate EDI messages from third-parties into a useful record, or update that you can see in an understandable manner within the Sequoia client.

Obtaining EDI messages

Use Case

In certain circumstances, third parties such as HMRC may contact you as a user of Sequoia, asking to see a copy of the EDI message that was sent to them.
In these cases, you will need to interrogate the Sequoia system to find the relevant message. The way to get a copy of the message you are being asked to produce will depend on the type of message you are being asked for.

Sequoia keeps the last 3 months' worth of EDI messages within a 'message log', which can be queried indirectly using Sequoia, or directly using the toolbox application on the server.

Obtain latest outbound CUSDEC EDI message for CHIEF declaration

Sequoia makes it simple to get a copy of the latest outbound CUSDEC EDI message. The CUSDEC message is the CHIEF declaration message that is generated when you 'Send' a declaration from the declaration screen.

To obtain the EDI message, follow these steps.

  1. Open your (previously sent) declaration.
  2. Click on the Tools menu option and select 'View EDI Messages'
  3. You will see the EDI message displayed in the 'Message Viewer'
    • You can copy this text by clicking on the 'Copy to Clipboard' button.

Obtaining any other EDI message sent by Sequoia

If you are being asked for a message that isn't the latest CUSDEC related to a CHIEF declaration, you can still get a copy of the EDI message, but the way to get to this information is to launch an application (that is installed with the Sequoia Services) on the Sequoia Server machine.


  1. You must be able to access (have a windows login) for the Sequoia Server machine.
  2. Your user must be able to access the back end SQL server instance and have read access (at a minimum) to the main Sequoia databases.
    • Please contact your system administrator to grant you access or ask someone who has access to help you.
    • The Sequoia Service Account will have this level of access. You may consider using this account to launch the toolbox application if you do not have sufficient rights.

Launching the Sequoia Toolbox application

When you have access to your Sequoia Server desktop - you can start the Sequoia Toolbox Application.

  1. If your operating system has a 'Start' menu...
    1. Navigate to the 'ASM Sequoia' folder.
    2. Click on 'ASM.Sequoia.Toolbox' to launch the application.
  2. Alternatively...
    1. Locate the Sequoia Server directory on your hard disk using Windows Explorer (or equivalent).
      1. This is typically located in c:\Program Files (x86) but may have been installed elsewhere - please consult your system administrator if you are unsure.
    2. Locate the folder named 'Toolbox'
    3. Inside the folder, click on 'ASM.Sequoia.Toolbox.exe' to launch the application.

You should see an application which looks like this:

Now you have the application open, you will see that there is a navigation bar on the left-hand side of the application.

Look for the 'Message Log' section:

- Please note that this is different to the 'Message Reprocess' options which looks very similar. Please ensure you select the correct option.

To minimise the amount of querying the application does to get messages from the database, select the correct option within the toolbox.
Searches for a larger date range will potentially take longer to complete.

If the message you are interested in finding was sent/received within the last 8 hours:
- Select 'Last 8 Hours'
If the message you are interested in finding was sent/received on the current day:
- Select 'Today'
If you are interested in all messages that were either sent or received by Sequoia: - Select either 'Sent' or 'Received' as required. Otherwise, if you wish to view a chain of messages, or just want to search for everything - select 'All' - This is the slowest search of all, so please use this only if the other searches are not suitable.

Once you have selected an option from this menu, you will be prompted to connect to a database:

  1. If you have used the toolbox before, you can drop down the 'Server' field and select the database from the most recently used (MRU) list.

  2. If you have not used the toolbox before, you will need to fill in the connection details:

    1. In the 'Server' field enter the name of the database instance.
      • If this database is located on another server, specify the server / instance name.
        • You may require your system administrator to assist in providing these details.
    2. In the 'Database' field, specify the name of your database.
      • You may require your system administrator to assist in providing these details.

If you have trouble filling in these details - please contact the ASM Helpdesk.
These details will be 'remembered' so you once it is set up, you can just select from the MRU list.

Click the 'Connect' button to proceed.

Selecting and filtering the list of messages

Now you have connected to the database, the list on the right-hand side will display messages that were sent/received by Sequoia. This list is limited to the time frame / selection you made in the navigation bar to the left.

The 'Filter Row' is the top-most row (highlighted blue in the screenshot above) - you can filter the results to find the messages you are interested in.

To filter:

  1. Click in the relevant column heading in the 'filter row'
  2. Start typing the word you are looking for
    • If you want to find a word within the column, prefix your search with a '*'
      For example, to look in the 'Message Column' for a Trader Reference of 'JENIMP05S12ZA17A':
      • Type in *JENIMP05S12ZA17A into the filter row of the message column.
    • You will see that the list only shows messages which contain the specific filter value.
    • You can search for any text value in the message.
      Typically, people search for the DUCR or Trader reference or any other unique identifier that they input into a message.

To see messages in the correct order, you will need to sort the list.
Click on a column heading to sort the list. If you click on the heading again, it will sort the other way, and if you click a third time, it will remove the sort order.

Clearing a filter

You can clear a filter by:

  1. Clearing the value in the filter column (clears the filter for just this column).
  2. Clear all filters by clicking the 'x' at the bottom of the list of messages.

Please note that this does not change the overall list of messages that were retrieved when you first clicked a 'Message Log' option on the left to show the initial list.

Viewing the EDI message

As shown in the screenshot above, selecting a row in the top half of the screen will show the full message details in the bottom half of the screen.
When you select another message at the top, the bottom half of the screen will update with the selected message detail.

By default - you will see a 'pretty' print of the EDI message. This is a view which breaks down the EDI message so it is easier to read.
You can change this view to see the actual message that was sent out by clicking the tab on the left which says 'Raw'.

Copying the EDI message

You can use standard Windows functionality to copy the message.

  1. Choose the message you want to copy at the top of the screen.
  2. See the message content at the bottom of the screen.
  3. You can decide if you want the 'pretty print' message or the unformatted message by selecting the appropriate tab on the left.
  4. Click on the message text.
  5. Either use your mouse to select all text or press [CTRL] + [A] at the same time (which will select all text).
  6. Right click on the highlighted text.
  7. Select 'Copy' from the context menu to put the text on your clipboard.
